Case studies

A look at how the Gap Method plays out in practice.

01

Merchandising & stocktake digitalisation

Retail ops
Before

Stocktake was tracked across multiple outlets using pen and paper, then photographed and sent over WhatsApp to the back office for manual entry.

Every stocktake meant duplicate work, first on paper, then again by hand at the back office. Records were scattered across chat threads, with no easy way to pull a report.

After

The process now runs on a single software system. Stocktake is recorded once, stored automatically, and reports can be pulled directly. No re-entry, no digging through WhatsApp history.

02

Automated receipt and invoice data extraction

Back office
Before

The back office was manually reading receipts and invoices and typing the data into a spreadsheet.

Manual entry meant time spent on repetitive work that didn't need a person doing it, and more opportunities for error with every document typed by hand.

After

An automated workflow now reads receipts and invoices directly and populates a Google Sheet, freeing up the time that used to go into manual entry.

03

Event crew and promoter scheduling system

Field ops
Before

Promoter and crew schedules for multiple campaigns, locations, and dates were coordinated by hand, with assignments sent to each person individually and gift distribution tracked manually.

Every schedule change meant telling each person individually. Gift counts depended on crew remembering to track every item, then manually adding it up and retyping it into a message at the end of the day.

After

Promoters and crew now log into their own account to see their schedule and check in on-site. As gifts are given out, they log each one with a tap, so submitting the day's count is a single click instead of tallying by hand.

More cases are added over time.
